Prepare a Clearer RFQ
A useful RFQ gives suppliers enough information to quote the same requirement and makes unanswered questions visible.
Define the product
State the product type, intended use, key specifications, materials or composition, required functions, quality criteria, accessories and any reference model or drawing.
Define the destination-market version
State the destination market, language, labelling, packaging and applicable compliance requirements. For electrical products, also define voltage, frequency, plug and other market-specific electrical fields.
Define quality and acceptance
State tolerances, approved references, testing or inspection requirements, sample expectations and any change-notification rules that apply to the product.
Define the commercial scope
State estimated quantity, customisation, tooling where applicable, target lead time, Incoterm, payment term, destination information and the required quotation validity.
Separate requirements from supplier questions
Distinguish fixed buyer requirements from fields the supplier should propose or confirm. Do not fill missing supplier answers from another source.
Add product-specific fields
A general RFQ cannot replace product-specific requirements. Electrical appliances, machinery, textiles, furniture, packaging, food, ingredients, cosmetics and other categories require different technical, material, regulatory and quality fields.
