A useful air fryer RFQ has one primary job: it should reduce the different assumptions that arise when important project information is missing.

An enquiry that contains only a product image, preferred capacity and target price may still receive several replies. The difficulty appears later.

One supplier may assume that the buyer wants an existing stock model. Another may include custom packaging and a new control panel. A third may quote a different electrical version and exclude testing costs.

The result is several rounds of emails, revised quotations and unanswered questions, while the buyer still cannot tell whether the suppliers are offering the same product.

The purpose of an RFQ is not to fill as many fields as possible. It is to separate:

  • what the buyer has already decided;
  • what the supplier is being asked to propose;
  • what must be confirmed for the exact model;
  • what remains unresolved.

Separate buyer requirements from supplier responses

A buyer requirement describes the project need. A supplier response explains what the supplier can provide, under what conditions and at what cost.

When the two sides are combined in one field, assumptions can be mistaken for confirmations.

For example, “UK version” may be the buyer’s requirement. The supplier response still needs to identify the plug, cord, voltage, frequency, labelling, manual and the scope of the documents available for the quoted version.

Define the project before defining the product

The RFQ should begin with the commercial context.

Useful project information includes:

  • buyer company or project reference;
  • buyer country or region, where relevant to the project;
  • destination market for the product;
  • intended sales channel;
  • estimated first-order quantity;
  • estimated annual volume, where available;
  • target launch period;
  • existing model, modified model or new development.

These figures do not need to be firm commitments. They should, however, be identified as estimates rather than left for the supplier to infer.

The route to market also matters. Packaging, labelling, documentation and commercial assumptions may differ between a private-label retail programme, an e-commerce product and a smaller trial order.

Define enough of the product to prevent different quotations

“Air fryer” is too broad to serve as a complete product definition.

At minimum, the RFQ should identify the intended format:

  • single-basket drawer;
  • dual-basket;
  • divided chamber;
  • air fryer oven;
  • steam air fryer;
  • another combined format.

The capacity basis also needs to be clear. Rather than using a single field labelled only “Capacity,” distinguish:

  • advertised capacity;
  • usable basket or cavity capacity;
  • capacity per zone;
  • measurement basis;
  • internal dimensions;
  • intended food load, where relevant.

This does not mean the buyer must prescribe every engineering decision before contacting suppliers. It means that one supplier should not quote a dual-basket product while another quotes an oven model simply because both are described as “8L.”

Align the destination-market version

Once the product format is clear, the next source of variation is the market version.

Relevant fields include:

  • voltage;
  • frequency;
  • plug;
  • rated power;
  • cord requirements;
  • rating-label language;
  • control-panel language;
  • manual language;
  • packaging language;
  • destination-market documentation.

A model name may appear in several markets, while its cord, plug, labelling, documentation and, in some cases, internal configuration differ.

The supplier response should therefore refer to the exact version being offered rather than to a generic catalogue model.

Ask the supplier to describe the quoted construction

Broad descriptions such as “digital air fryer” or “non-stick basket” are not enough for a meaningful comparison.

The supplier response should identify the main construction and control features of the quoted model, including where relevant:

  • basket and crisper-plate materials;
  • coating system;
  • food-contact materials;
  • control type;
  • temperature and timer ranges;
  • preset programmes;
  • heater and fan arrangement;
  • viewing window or internal light;
  • standard accessories.

For quotation purposes, the key point is that the supplier describes the actual model being offered rather than repeating a broad product category.

Make document requests model-specific

A general question such as “What compliance documents are available?” may still produce an incomplete answer unless the exact model, market version and document scope are specified.

A more useful request asks which document applies to the quoted product and what the document actually shows.

Where stated on the document, the supplier response should identify:

  • the exact model or model family;
  • certificate holder or applicant;
  • manufacturer, where identified;
  • production site or factory, where identified;
  • applicable standard;
  • issue date;
  • validity or current status, where applicable.

The same principle applies to food-contact reports, material declarations and other technical documents.

Not every report has an expiry date, and not every document identifies every production role. Those differences should remain visible rather than being filled in by assumption.

The RFQ should identify the destination market and any buyer-specified documentation. Applicable legal and compliance requirements should then be confirmed through the buyer’s own compliance process.

An RFQ can organise document requests, but it cannot establish final product compliance.

Define customisation before comparing price

Customisation often explains why quotations that initially appear similar begin to diverge.

The RFQ should state whether the project requires:

  • custom colour;
  • logo application;
  • new panel artwork;
  • display-language changes;
  • packaging artwork;
  • special gift-box construction;
  • manual translation;
  • optional accessories;
  • software changes;
  • tooling or mould changes.

Each item can be marked as:

  • required;
  • optional;
  • supplier-proposed;
  • not applicable.

That makes the scope visible. Otherwise, one supplier may quote an unchanged standard model while another includes several project-specific changes.

Require a clear commercial basis

Only after the product and market version are sufficiently clear does the quoted price become useful.

The supplier response should state:

  • currency;
  • quoted quantity;
  • unit price;
  • Incoterm;
  • named place or port;
  • MOQ;
  • sample fee;
  • tooling fee;
  • packaging or artwork fee;
  • testing, certification or related document fees;
  • payment terms;
  • quotation validity;
  • exclusions.

A lower price may simply reflect a narrower inclusion list. Unless included and excluded work is visible, the offers are not yet being compared on the same basis.

Lead time also requires a defined starting point.

“30 days” could mean 30 days from:

  • deposit;
  • sample approval;
  • final specification;
  • artwork approval;
  • material arrival;
  • production scheduling.

The RFQ should therefore ask when the timing begins and what the completion point means: ready for inspection, ready for shipment or delivered to an agreed location.

Keep missing answers visible

When a supplier does not answer a field, do not remove the field or fill it with information from another source.

Use a clear status such as:

  • confirmed;
  • supplier response pending;
  • document requested;
  • not applicable;
  • not stated;
  • sample check required;
  • order-specific confirmation required.

This becomes especially important when spreadsheets or AI tools are used to organise supplier replies.

A missing answer should remain missing until it is supported by the supplier or an appropriate document. Otherwise, the comparison gradually fills with assumptions that look like established facts.

What a usable RFQ should achieve

A good air fryer RFQ does not need to settle every technical choice before a supplier becomes involved.

It does need to make the following visible:

  • the intended project;
  • the product format;
  • the capacity basis;
  • the destination-market version;
  • the main construction and functional requirements;
  • the requested documents;
  • the customisation scope;
  • the quantity and commercial basis;
  • the sample and production timing assumptions;
  • the unanswered fields.

Once that structure is in place, suppliers can respond to the same project instead of building separate interpretations of it.
